1 Four Winns Dealer Warranty Claims Processing step 1) After logging in, click on the Warranty claim tab to go to the claim management field. This should show you the status of all your Claims in process. Each claim will be highlighted in a different color depended on the status of the claim . TECH CHANGES, PENDING APPROVAL, PAID, AUTHORIZED, RETURN PARTS , SAVED and DENIED. step 2) At this point you can locate a claim and click on any part of the claim line to open it. You can also view photos of each claim by clicking on the camera icon, print the claim by clicking on the printer icon or view the Dealer and technical notes by clicking on the note icon next to each claim number. If a claim status is in TECH CHANGES, please read the notes for details of the tech review.
2 step 3) To start a new claim , click on the new claim tab at the top. This will bring up the starting point for the new claim . Enter in the boat serial number and date of failure, you can also add a Dealer reference number but it is not required. If you are requesting a pre-authorization, make sure that the request for pre-authorization box is checked then click go or hit enter to continue. step 4) If you are submitting this in as a request for pre-auth, you will need to add notes, photos and requested amount. You can then submit it in for tech review. Once it has been reviewed by a tech, it will then appear in you active Claims as AUTHORIZED or DENIED. Check your note tab for any changes made by the Four Winns Technical Rep.
3 step 5) You can start a claim at any time and save it for future work performed, much like a work order. Once the work is performed, you can then go back into the claim to add fail codes, photos, parts etc. and submit it for Processing . To add fail codes to your claim , click on the add fail code tab on the left side of the claim form. This will bring up a list of fail code categories in which you can choose depending on the nature of the failure. For example, to find a fail code for a defective stereo, you would click on the electrical section and scroll down to the type of component it is. In this case, it would be E01. You can click on the fail code on the left and it will automatically add it to the fail code list on the right along with the flat rate time for repair.
4 You can also just put in the fail code if you already know it. The nature of failure and description of work performed must also be filled in. Once you have added the fail code, you will need to click on the add fail code tab at the bottom. At this point the fail code added to the claim will appear at the bottom of the form under current lines. Repeat these steps to add additional fail code lines. step 6) If you are finished with the fail codes, you will need to click on the done-go back at the bottom of the form. This will bring you back to the main page and you will notice that the fail code will then appear as part of this page. To add a part or parts to the fail code line, click on the PARTS tab on the right side of the form.
5 Fill in the quantity and the part number and click on the ADD PART tab to add the part number under this fail code. Please note that you can add as many parts under this fail code as needed. Once you are done, click on the at the bottom of the page. On the main page, it will show the fail code and corresponding part or parts that go with the failure noted. step 7) Once your fail codes and parts numbers have been applied to the claim , go to the bottom of the form and click on VERIFY . This will automatically add the parts handling amount onto the claim . You will need to enter the freight, to and from Four Winns , for the replacement parts. Also enter in any corresponding information at the bottom right side as needed. Sublet, taxes etc. When adding a sublet cost, please attach a copy of the invoice to the claim .
6 Click the VERIFY tab to enter in the information. You can also add in notes or photos at any time during this process. If there are any discrepancies, they will be highlighted in red in the area that needs to be changed or added. Once all the information is added to the claim , you can then click on the SUBMIT button at the bottom left of the form to submit it in for Processing . The claim will also be added to the Dealer inbox on the Warranty claim status page.
