1 1 HS MOBIUS SYSTEM quick reference -Sept/2012 NAVIGATION IN MOBIUS All navigation through MOBIUS is done by using the hyperlinks, tabs and functions available on the webpage. DO NOT use the navigation tools (Back Button) in your browser as this will create issues behind the scenes, and may duplicate some entries on some pages. LOGOFF THE MOBIUS SYSTEM You can Logoff from any screen. Close all tabs before logging out. Internal: 1. Click the Log out button in the Application Menu, then click the Log out button in the middle of the next screen. 2. Do not logout of MOBIUS by clicking the red X in the upper right corner. External: 1. Click the Log Out button in the Application Menu, and then click the Log out button in the middle of the next screen. 2. Once logged out, do click the red X in the upper right corner. INTERNAL LOGIN TO THE MOBIUS SYSTEM 1.

Additional information can be found in the on-line MOBIUS Manual. Supplemental quick reference Guides are available that address Navigation, Notes and Service Plans. WHAT IS THE MOBIUS SYSTEM ? The HS MOBIUS SYSTEM is a web-based integrated information technology SYSTEM that supports three major business streams: Individual Service Management, Employer Service Management and Program, Service and Benefit Management.
3 This quick reference Guide will focus on the activities included in the Individual Service Management Stream. SECURITY - WHO HAS ACCESS? Authorized HS Staff and external providers who have received training, and have completed the MOBIUS Request for ID form and received individual authorization. The level of access is granted based on the role of the individual. Login IDs should never be shared. 4 2 HS MOBIUS SYSTEM quick reference -Sept/2012 SEARCH AND REGISTER A PERSON 1. From the Workspace page, select Person from the Search section of the Shortcuts Panel. 2. Enter the search details. Internals can search with either EI Identification number, SIN, partial/full last name OR partial/full first name. Externals must enter SIN and DOB or SIN and full/partial last name. Select Search. 3. If Record found: Select the client s reference Number, confirm information is current, update (Edit) if required and Save. 4. If no record found, select Register Person from the Tab Action Menu. Select Next on the Registered Person Check. 5. Enter the person s data in the appropriate fields. Use Calendar to select dates in the correct format. Collect only the information that is needed to provide the service. Note: If a person is registered without a SIN, externals will not be able to access the record 6.
5 Select the Save button to complete the Registration. Unverified addresses may result in delayed, lost or misdirected correspondence or benefits. Update and correct address and Save. REGISTRATION INFORMATION, TASKS, INTEGRATED CASE, ASSESSMENT INTEGRATED CASE An Integrated Case is a folder used to store information about a client, such as assessments, service plans, benefits, and household composition. An individual must be Registered in MOBIUS prior to the creation of a single Integrated Case. SEARCH FOR EXISTING OPEN INTEGRATED CASE 1. Search for a Registered person. 2. From the Person Home page, select the Cases tab. 3. Select the appropriate Case reference Number where the individual is the Primary Client. CREATE NEW IF NO EXISTING OPEN INTEGRATED CASE From Person Home page: 1. Select New Case from the Tab Action Menu. 2. SYSTEM will default to Integrated Case type, and High Priority.
6 Adjust priority if desired and select Save. 3. The Integrated Case Home page will appear. TASKS Tasks are created on the screen closest to the requested action: User Home page, Person/Employer Home page, Integrated Case Home or Service Plan Home page. CREATE AND ASSIGN 1. From the screen where the work will need to be completed, select TASK tab. 2. Click on New to create a new Task. 3. On the Create User Task screen, enter the: Subject of your Task John Doe. Status (deadline date and time - Task is due). Assignment Details Select Reserve to Me to assign the Task to yourself, or Assign to the appropriate drop down choice and the appropriate search and selection choice using the magnifying glass icon. Enter Comments to clarify what the Task is about and click Save. Task Comments are viewed through the History and Comments tab on the Task Home screen.
7 VIEW TASK 1. From the User Home page My Tasks that are currently due in less than a week will appear under My Tasks pod. 2. Select My Tasks from the Inbox tab. All Tasks that are currently Reserved to you will be displayed. RESERVE AND CLOSE TASKS Available Tasks need to be moved to My Tasks before they can be worked on. 1. From the User Home Page Tasks that are Available but not yet moved to My Tasks will appear under Available Tasks pod. ASSESSMENT An individual must be Registered and have an Integrated Case before an Assessment can be created. An Assessment is a mandatory component of providing Programs and SERVICES . Throughout the Assessment interview, you will examine and enter information on the: Individual s Presenting Circumstances Individual s Occupational Goal as presented Employment and Educational History Relevant Assessment Factors The individual s readiness to develop and participate in a Service Plan CREATE NEW ASSESSMENT 1.
8 From the Person Home page, select Cases tab. 2. Select the Case reference from the Integrated Case List. (Make sure it is the Primary Client). 3. Select the name of the Primary Client from the Case Members section in the middle of the page. 4. From the Integrated Case Member Home screen, select the Assessments tab. 5. Select the New button on the Assessments List screen. 6. Choose one of the two types of Assessment: Service Needs Determination Assessment (SND) Employability Assessment (EMP) TASKS (con t) 2. Select the Inbox tab. From the Available Tasks screen select the tasks you want to add to My Tasks. This will indicate you are working on the Task. 3. When actions have been completed, and comments updated, Close the Task, or, forward the Task to the originator to notify them of completion and to Close. 3 HS MOBIUS SYSTEM quick reference -Sept/2012 ASSESSMENT, EDUCATION, EMPLOYMENT, EMPLOYMENT INSURANCE STATUS EDUCATION HISTORY This screen must be updated pre and post training, however do not update or edit when training is in progress.
9 You may add, but do not change or delete. 1. From the Person Home page select Education from the Background tab. 2. Select New to add Education historical information. 3. Complete mandatory and other fields for each entry. 4. Select Save. The last entry appears at the top of the list. Note: Apply the following guidelines when entering Education: All individuals should have their highest level of K-12 education entered. Academic Upgrading should be entered using AU codes, not K-12 codes. If no education history add Institution Neverattendedregularschool, Qualification - Grade 1-3, Status incomplete and Dates are equal to Birthdate. COMPLETE EMPLOYMENT HISTORY This screen must be updated pre and post training, or any time this information has changed. 1. From the Person Home page select Employment from the Background tab. 2. Select Unregistered Employer and complete the Mandatory fields and as many other fields as possible.
10 If the individual is still working, do not enter an end date. If the individual has never worked, the Note should be added to the Integrated Case notes individual has not worked, there is no employment history. 3. Select Save. The last entry entered appears at the top of the list. CREATE PRELIMINARY EI/NON-EI PROFILE 1. From the Person Home Page, select Preliminary EI/Non-EI Profile from the Background tab. 2. Complete all fields and Save. 3. If the Potential EI Result is Yes, and the individual will be attending full time training, an EI Verification is required. EMPLOYMENT INSURANCE STATUS Verification of an individual s EI Status is required to determine the correct funding stream while they are attending training. The first step is the Preliminary EI/Non-EI Profile. REQUEST EI VERIFICATION EXTERNAL PROCESS Note: Non-AFA Training Providers will refer the individual to an Authorized Official for EI verification.
