2 Vehicles are to a high standard but users need to recognise the limitations of the scheme. It may be that the commercial rental market more appropriately provides what some users are expecting. ELIGIBILITY. Eligible groups are 1. Voluntary, charitable or non profit making organisations 2. Voluntary and youth groups who have specialist needs with limited resources 3. Adult and Community Education groups. 4. Groups and associations that work to the benefit of the residents of Plymouth . VEHICLE AVAILABILITY. Vehicles Available are Five 15 seater wheelchair accessible vehicles are available for Community hire 7 days a week 24 hours a day.

3 INSURANCE. An excess of 250 applies to each claim for accidental damage to a Community Transport bus while a group is using it. You are liable for payment of this excess, irrespective of whether the accident was caused by a Community group or a third party. The group will have to make their own arrangements if they wish to recover this amount from a third party. It is expected that any association or group will ensure that they have the correct liability insurance cover for those who use the minibus. Access Plymouth will not be held responsible for injury to any persons, whilst the vehicle is on hire.

4 In the event of any accident or damage occurring to the vehicle, the driver must complete a motor accident report form. These forms should be returned to Access Plymouth , Mayflower East Car Park, Mayflower Street, Plymouth , PL1 1QJ within 24 hours. CT4H Revised May 11. Details of accident procedures such as personal, animal or roadside property are listed in the Community Transport 4 Hire Guide Book which is kept in the vehicle at all times. Please note that an accident is classed as any damage that is caused to the vehicle no matter how trivial. Failure to supply completed forms on time will result in the cost of the repairs being recharged to the group.

5 Please ensure that your group has an accident form before undertaking any journey The Community Group will be liable for the cost of repair for any damage which is sustained to the vehicle caused by the actions of the driver or passengers and which cannot be attributed to normal wear and tear. Examples of such damage include broken arm rests, damaged seats, burnt out clutches, tyres requiring replacement due to kerbing etc. FUEL. Attention should be paid to the mileage and fuel gauge at the start and end of the hire. Please note that the vehicle will be supplied with a full tank.

6 The hirer will be charged 25 if the vehicle is not left with a full tank of fuel at the end of the hire. BOOKING. Booking should be made by phone to 01752 600633 between am and 5pm Monday to Friday. Normally we would need 7 working days notice for each booking. For each booking you will be sent two copies of the booking form and a defect report form. It is essential that you check the details fully and advise us of any discrepancies. When collecting the vehicle, please check fuel level and mileage and complete the appropriate sections on both booking forms as well as carrying out the defect check prior to taking the vehicle on the road.

7 At the end of the hire, please check the total mileage and complete the appropriate section of the booking form, attach a copy of your fuel receipt for the booking and return to Access Plymouth , along with your completed defect sheet within 48 hours of your trip. Please keep one copy for your records. PAYMENT. Payment for the hire is required as soon as the booking is made. A separate invoice will be sent. Cheques can be sent or you can come into the office at Access Plymouth . Provision is currently being arranged to enable payment by card, please check at the time of booking to see if this is available.

8 CT4H Revised May 11. Hire Charges Access Plymouth Passenger vehicles are available for hire at rates that will allow the various Community groups to fulfil their aims and objectives. As the vehicles are in constant use, they must be returned at the end of the hire periods in the same condition that they were taken out. You will be requires to confirm this by signing the copy of the booking form that you return to us. Please pay special attention to the cleanliness of the vehicle. It is your responsibility to make sure that all litter etc is collected for your group.

9 Full details of the current hire charges are available from the Access Plymouth office. All journeys outside of the City of Plymouth must be indicated when the booking is made. Conditions of Hire 1. ALL GROUPS must obtain a Section 19 permit and show the disc in the window when they travel. 2. All groups must be registered on the Access Plymouth database prior to booking 3. All drivers must be between 21 and 70 and have a clean, current valid driving licence. All drivers must be registered with Access Plymouth individually. 4. To achieve approved driver status, drivers must be physically fit and a) Hold a current and valid PCV Driving Licence for which the appropriate documentation is seen and approved by Access Plymouth .
