2 The finals will be spearheaded. All other events will be swum as Heat Declared Winners with all heats spearheaded. Age groups for the Championships will be 10/11, 12, 13, 14, 15, 16, 17/19 and 20&Over. Age is at: 31st December 2019. Officials will be from the County and Regional lists as applicable. If you are willing to help please email Ann Basford: KEY DATES FOR THE COMPETITION. Closing Date for Entries: Friday 18th January 2019. Final Date for Club Coordinator's to Report Errors: Sunday 3rd February 2019. Event Dates: Saturday/Sunday 16th/17th & 23rd/24th February 2019. ELIGIBILITY AND REGISTRATION. All entrants must be eligible competitors as defined by ASA Law and must be registered with Swim England by the closing date in the name of the club under which they wish to enter. That club must be directly affiliated to Derbyshire ASA. No competitor shall have swum in any other County's Competitions / Championships in 2019. There will be registration checks. Swimmers may only compete for one club during the Championships.

3 FEES. The Entry Fee is: per event. There are no refunds for withdrawals of accepted entries, unless due to injury (a medical note may be requested). Poolside Passes are: per pass for one day. per pass for one weekend. per pass for both weekends. Spectator Entry is: for 1 session in a day. ( for concessions). for 2 sessions in a day. ( for concessions). for 3 sessions in a day. ( for concessions). ENTRIES. All entries must be submitted through the swimmer's club coordinator and receipt will be acknowledged via email. The method of submission for entries is through the Sportsystems Entry Manager which is available for all clubs. Please make payment for entries payable to your club who will collate all the entries and forward one payment to Derbyshire ASA. Completed electronic entries should be sent to Connor Donson: Manual entries will not be accepted and will be returned to clubs. Should clubs need advice on how to use the electronic entry system they should email: for assistance.

4 For individual events only one set of entries will be accepted from each swimmer. No additional entries will be accepted after the closing date Friday 18th January 2019. The promoter reserves the right to limit and/or reject entries in any event where necessary. Details of all entries will be posted on the Derbyshire ASA website as they are processed. An accepted entries list will be posted after the closing date. Should refunds need to be issued, they will be sent to the swimmer's club. Derbyshire Amateur Swimming Association . All entry times shall be registered on the British Swimming Rankings database. Entry times, converted if necessary to a 25m pool via the Sportsystems Entry Manager, must have been achieved after 1st January 2018 and must be equal to or faster than the qualifying time for that event. Times registered on the Masters Rankings database will be eligible for entry to the competition should they comply with the above entry conditions.

5 DISABILITY SWIMMERS. Derbyshire ASA operate an inclusive policy for disability swimmers in this competition. Swimmers will be ranked using British Disability Points. Awards will be made to the top three in each event provided there are 4 or more swimmers. Otherwise awards will be given on the basis of the number of swimmers minus one. Disability swimmers do not have to meet the qualifying time criteria. Please Note: Disability swimmers may not be able to enter using the electronic entry manager system. Clubs should email Connor Donson: for details of how to enter if this is the case. PROVISIONAL / ACCEPTED ENTRIES. Details of all received entries will be posted on the Derbyshire ASA website ( ) as soon as they are processed. All accepted entries will be posted on the Derbyshire ASA website as soon as possible after the closing date for entries. Club Coordinator's must report errors by: Sunday 3rd February 2019. WITHDRAWALS. All swimmers who know they will not be able to swim at the competition are asked to withdraw to avoid the gala being run with empty lanes.

6 Competitors may withdraw from events up to 1 hour before the scheduled start of the session. Prior to 8:00pm on the Friday before the session withdrawals can be made by email to: After the above time withdrawals can be made by texting 07929 377809 prior to the start time of the warm up and leaving a message stating swimmers name, gala, event number and competitor number. Withdrawals on the day of the competition can also be made on a completed form which must be given to the administration desk prior to the start of the warm up. There will be no refunds for withdrawals of accepted entries. Receipt of withdrawals may not be acknowledged. FINALS. The fastest 8 swimmers in each age group, from the heats in events with finals, will qualify for the final. It is expected that all swimmers that qualify for the finals will swim and as a result no reserves will be advertised. Should more than 8 swimmers qualify for a final a swim off will take place to decide the 8 swimmers. Finals will be swum in the following age groups: 10/11, 12, 13, 14, 15, 16 and 17&Over.

7 CHAMPIONSHIP AWARDS. In the events with finals, awards will be decided from the result in the final (and take precedence over the heat time). Awards will be given to all finalists that swim. Please note awards for the 17/19 and 20&Over age groups will be decided from the individual heat events and where finals are involved the time achieved in the final will take precedence and the result for finalists reworked accordingly. In the Heat Declared Winner events, awards will be for the first six in each age group (10/11, 12, 13, 14, 15, 16, 17/19 and 20&Over) provided there are 7 or more swimmers in the age group. Otherwise awards will be given on the basis of the number of swimmers minus one. Awards will be available for collection throughout the day once they have been declared. 8 Please can all trophy winners ensure all trophies are returned to Steve and Emily Roome at the first session of the Championships. If you are able to help run the galas in any way, we would be delighted to hear from you. We have technical and non-technical roles that we need to fill and most require no previous training. If you can spare your time to volunteer, please contact Nga Sam and Nicky Owen: NOTICES. Clubs are required to provide a team manager in the sports hall to supervise their swimmers at all times throughout the event. It is expected that the sports hall will be kept tidy. Spectators are not permitted to reserve seats in the seating balcony, nor are swimmers allowed in the spectator balcony during the event. LICENCE. This competition will be licensed by Swim England for entry into National and Regional Events.

Payment from clubs should accompany entries when they are submitted. By entering this competition, participants agree that we may publish their Personal Information as part of the results of the event and may pass such information to the governing body or any affiliated organisation for the purpose of insurance, licences or for publishing results either for the event alone or combined with or compared to other events. Results may include (but not be limited to) name, any club affiliation, race times, occupation and age category. Anything not covered within the entry pack will be at the discretion of the promoter.
