OFFICE MANAGER Reports to: Management Committee/Operations Committee Committee Participation: Management Committee Operations Committee Purpose for position: To carry out the business and administrative functions of the firm as directed by the Management Committee and Committee Chairs, including Management of information systems and facilities, and assistance/knowledge in the areas of human resources and financial matters. Summary of Responsibilities: Manages business functions as well as the overall operations of the Firm. Reports to the Board of Directors, Management Committee, and Operations Committee, and participates in Management meetings. In addition to general responsibility for financial planning and controls, personnel administration, and systems and physical facilities, the OFFICE MANAGER identifies and plans for the changing needs of the Firm, shares responsibility with the appropriate committees for strategic planning, practice Management and marketing, and contributes to cost-effective Management throughout the organization.

2 Responsibilities: Whether directly or through a Management team, the OFFICE MANAGER is responsible for the following: General: Ad hoc advisor to Board of Directors and shareholders Disaster preparedness Firm policy Risk Management (professional & commercial liability, property, etc.) Organizational structure Financial Management : Planning Forecasts & budgets Profitability analysis Financial reporting (weekly, monthly & annual) Operational analysis Debt Management (long-term and routine operating)

3 Billing and collections Cash flow control Banking relationships Trust accounting oversight Wire transfers Coordination with outside CPA oversight Finance & accounting policies Other financial Management functions Human Resources.

6 Landlord relations Space allocation OFFICE furniture OFFICE equipment & supplies Renovation of OFFICE space, when needed Purchasing Reprographics Mail Active/archive file storage Knowledge: Has knowledge of legal or other professional service organizations, and has experience managing business operations such as human resources, technology, facilities, finance and marketing. Qualifications, Skills and Abilities: A minimum of five years' experience in a Management position, preferably with a law firm or other public services firm.

7 Excellent interpersonal relations skills. Excellent oral and written communication skills. Can identify and analyze complex issues and problems in Management areas, and recommend and implement solutions. Can manage OFFICE functions independently, economically and efficiently, organize work, establish priorities and maintain good relations and communications with lawyers and support staff. Displays excellent supervisory and leadership skills. Demonstrates willingness and ability to delegate. Education: Graduation from a recognized college or university with major course work in business administration or Management , finance, human resources, technology or marketing, or comparable work experience. Professional certifications a plus, including Certified Legal MANAGER (CLM) designation.
