1 Sample Client fuel CARDS and fuel CARD USAGE Page 1 of 2 Note: Any driver encountering problems using the fuel card should call the fuel card vendor customer services department at the toll free number found on the back of the card, 1-800-555-1234. USING YOUR WRIGHT EXPRESS (WEX) ARI fuel CARD PROVIDED BY Sample CLIENT Choose a station that accepts the Wright Express fuel card. For automated stations: Insert the card, enter your PIN and odometer reading. (DO NOT enter the tenths). fuel your vehicle and drive away! For manual stations. Make sure the Wright Express card is accepted, fuel your vehicle, give the attendant your card and have them begin the transmittal for approval. Enter your PIN and odometer, when asked, on the keypad they provide, then drive away! A detailed listing of all transactions by driver, vehicle, location and time are provided to Sample CLIENT so receipts are not required to be turned in.
2 GENERAL INFORMATION ON ISSUING AND MAINTAINING fuel CARDS ARI (Automotive Resources International) provides a co-branded WEX universal fuel card for Sample CLIENT. Each vehicle will be issued a fuel card. The 6 digit number at the bottom left on the front of the fuel card should match the assigned Sample CLIENT vehicle number and vehicle number sticker on the rear of each Sample CLIENT vehicle. Each Sample CLIENT driver will be assigned a personal identification number (PIN). PIN s are six digit numbers that are created using the driver s unique Sample CLIENT employee number. The PIN number can be obtained by identifying the last 6 digits from the Sample CLIENT driver s employee number. Only employees who are assigned Sample CLIENT vehicles or those who commonly use a Sample CLIENT vehicle will have a PIN# activated in the ARI database.
3 Fleet Operations should be notified by a local manager through email when a new employee is hired and needs to be added to the PIN number database OR when a driver is terminated so that the PIN # is removed from the database. Corporate Fleet Operations will request fuel cards for new and acquired vehicles. Replacement fuel cards should be requested by a Fleet Contact listed in the fleet contact section. Corporate Fleet Operations will cancel all cards for vehicles being sold. All salvaged vehicle fuel cards should be forwarded to the Fleet Contact for your area as part of the disposal process. Lost Cards- Corporate Fleet Operations and Regional Fleet Contacts have the authority to order replacement cards. The lost cards are automatically canceled and deactivated. Damaged Cards- Corporate Fleet Operations and Regional Fleet Contacts have the authority to order replacement cards.
4 Damaged cards stay manually active so they must be destroyed upon arrival of replacement card. If a fuel card has been working and fails to work in one instance, please attempt to buy fuel at another station before contacting Fleet Operations. Most first-time fuel purchase failures are due to problems at that instant with the fuel station. They may have card reader, pump, modem or telephone line problem, which prevent transactions from being processed. Each driver MUST enter the correct odometer reading at every fueling. This is CRITICAL as the odometer readings captured by the fuel card system are used to drive Sample CLIENT's preventive maintenance programs and Vehicle Budget Replacement Plan. 5 Purchase Regular Unleaded or Diesel fuel Only. Use the self-service Pumps when available. Only vehicle related, non- fuel products and services approved by individual market area management may be purchased with the fuel card. The Sample CLIENT driver should completely fill the vehicle fuel tank at a fueling station accepting the fuel card. Drivers must enter the correct odometer and their assigned driver PIN into the electronic point of sale equipment at the fuel station. Generic PIN usage is to be limited to emergency situations only. It will not be necessary for the driver to retain the receipt unless required by his local management. Employees will immediately notify his or her supervisor of any abuse of a Sample CLIENT fuel card. The supervisor should then notify his manager and Corporate Fleet Operations.
