1 Submitting time Off kronos Timekeeping Job Aid kronos Timekeeping Job Aid: Submitting time Off Page 1 Revised Date: 1/18/2019 There are two ways an hourly employee can submit time off in kronos : Option 1: Submit a request through the Calendar widget; once approved it is added directly to your timecard. Option 2: Gain manager approval for the time off outside of kronos and enter the time directly on your timecard. Salaried employees: Use option 2 to report your time off. Hourly employees: Not sure which option to use? Talk to your manager to find out their preferred method. Option 1 Get Started 1 Pop-out the Calendar widget from the secondary widgets on your Home workspace.
2 2 Select the time period you want to view. The time period is set to the Current Pay Period by default. To select a different time period, click the calendar icon next to the drop-down. Request time Off 1 Click from the top of the Calendar widget. Tip! If your request extends over a period in which you have regular scheduled days off, such as weekends, submit two requests: one before the days off and one after the days off. 2 Enter details Start date and End date: Enter the dates of your time off. Pay code: Select a pay code from the drop-down. Tip! Some pay codes, such as Paid time Off, can only be used if you have enough time off in your available balances for the time period selected.
3 Your Vested Balance shows at the bottom of the Calendar widget. Start time : Enter the time your shift normally begins. Duration: Enter the amount of your time off in hours. Enter the number of hours per day, not the total number for your request. Tip! If you are requesting several nonconsecutive days off, you can add a second set of dates by clicking + Add another time -off period. 3 Select . Tip! You can save your request as a draft by clicking Draft. Drafts can be reviewed later and either submitted or deleted. You cannot edit a draft. Viewing the Details 1 Hover over the request on the Calendar, click on the blue arrow to the right of the request, and select Details.

The details of the request will show the approval or rejection once your manager takes action. The green arrow icon next to your request will change; approved requests will appear with a check mark and rejected requests will appear with an X. 2 Retract the request by hovering over the request on the Calendar, clicking on the blue arrow to the right of the request, and selecting Retract. Tip! If the request has already been approved or rejected by your manager, it cannot be retracted.
5 3 Once approved, your time off will immediately be added to your calendar and timecard. Tip! The approved time will be deducted from your available time off balance at the time of your time off. Cancelling an Approved Request Hover over the request on the Calendar, click on the blue arrow to the right of the request, and select Cancel. Click Submit to send the cancellation of the approved request to your manager. Tip! Once the cancellation request is approved, the time off will be removed from your calendar and timecard. The request will appear on your calendar with the details indicating that it has been cancelled.
6 Option 2 Get Started 1 Locate the My Timecard widget on your Home workspace. Tip! Some profiles require you to open your timecard from the Related Items menu. 2 Select the time period you want to view. Your timecard will default to the Current Pay Period. Select the pay period you want to enter time off in from the drop-down menu or select the dates using the calendar icons. Tip! You can only edit a maximum of two weeks in the future on your timecard. Entering time Off 1 Add a pay code by clicking in the Pay Code cell and selecting a code from the drop-down. Tip! Some pay codes, such as Paid time Off, can only be used if you have enough time in your Accrual Vested Balance.
7 View accrual balances by clicking the gray arrow below your timecard. 2 Enter the number of hours in the Amount cell. Use decimals for minutes. Tip! Salaried employees must enter time off in full day increments. (Puerto Rico employees may enter time off in full or half day increments). 3 Select . Deleting time Off 1 Open the My Timecard widget from your Home workspace or Related Items menu. If time off needs to be deleted from a previous pay period, your manager will need to delete it via historical edit.
8 2 Find the time off you want to delete and select the to the left of the date. 3 Click . Good to Know! 1 Review the Paid time Away From Work Policy for information on PTO accrual and use. Common Errors This edit cannot be made. Combined PTO balance on xx/xx/xx is (overdrawn by ). Maximum overdraw is : You either do not have as much PTO as you are trying to request/enter or you are attempting to request/enter more PTO than will be accrued as of the date provided in the error. This error will also pop up if you have PTO logged for the future (date provided in the error) that is deducting from your balance, leaving you overdrawn by the amount provided in the error.
9 1 Reduce your PTO request/entry by the overdrawn amount provided in the error. 2 Remove the PTO logged on the date provided in the error from your timecard. Check out the Locating time Off Accrual Balances Job Aid.
