3 Getting started requires a one-time Registration . First, register your office location(s) and set up user accounts for you and your staff. Once completed, you and your staff will have access to: View broadcast message alerts or special messages for Medicaid Providers Perform Medicaid eligibility verifications to view your patients : Demographics Primary Care Physician (PCP) information Periodic service details Provider and pharmacy limitations Medicare information Third-party resource information Check-in /check-out your patients View Texas Health Steps information for each of your Medicaid patients View the patients' available health information How do I get started?

4 This Guide will take you through the simple process of getting your office location(s) registered. You will find step-by-step instructions under the Help tab to Guide your Site Administrator (the person you assign to manage your staff website access): Create locations for each of your offices Create user IDs for your employees Navigate through the website Medicaid Providers Initial Registration Guide Introduction Texas Health and Human Services Page 4 of 22 YTBC Medicaid Providers Initial Registration Guide User Roles Three user roles can be created on Use the descriptions below to help determine who in your office should be assigned which roles.

5 The Site Administrator user role creates, maintains, and edits employee access to A primary Site Administrator performs the Initial Registration for your office. NOTE: Your office can have multiple Site Administrators to help manage larger workforces, departments, or different office locations. The Front Desk user role is designed for staff members who perform front desk functions. Front Desk users have access to: Eligibility verification Check-in Check-out Daily transactions Reports The Provider user role is for medical staff who provide medical services to patients.

6 Providers have access to: 1. Eligibility verification 2. Patient s available health information, including: Prescription Medicines Vaccines Past Medicaid Visits Health Events Diagnosis Test Results 3. Texas Health Steps (THSteps) information 4. Patient search 5. Reports Medicaid Providers Initial Registration Guide Introduction Texas Health and Human Services Page 5 of 22 YTBC Medicaid Providers Initial Registration Guide The Provider Delegate user role acts on behalf of the authorizing provider at that location.

7 Provider Delegates have access to: 1. Eligibility verification 2. Patient s available health information, including: Prescription Medicines Vaccines Past Medicaid Visits Health Events Diagnosis TestResults 3. Texas Health Steps (THSteps) information 4. Patient search 5. Reports NOTE: If the authorizing provider is not a Health and Human Services Commission (HHSC) authorized provider type, the Provider Delegate will only have access to view a patient s health information such as THSteps, Vaccines and Past Medicaid Visits.

8 NOTE: You can assign any Provider/Provider Delegate user a dual role to allow access to Front Desk user functions ( , check-in/check-out) in addition to Provider functions. The Provider Welcome Packet is a Zip file containing seven documents: 1. READ ME FIRST YTBC Provider Overview - March 2018 Is an overview on what is available in the provider portal, expectations for a provider, instructions for creating a Site Administrator account, and what steps to follow if a provider is one of the HHSC approved medical provider types who wants to be able to view health information on a client.

9 2. Terms of Use A Terms of Use (TOU) Agreement is displayed upon login to the provider portal for a Site Administrator user, a Front Desk user, or a Provider user. 3. Consent Attestation The consent attestation is displayed to a provider before accessing a client s available health information. 4. Health Information Limitations Disclaimer_032018 This disclaimer advises a provider the client s available health information originates from various data sources; therefore, it is not intended to be a complete client health record.
