DIRECTIONS TO CANDIDATES (a) Applications must be submitted on the prescribed Application for Employment fonn Z83 which must be originally signed and dated. The Application for Employment form Z83 must be accompanied by the following:-(i) A detailed CV (ii) Originally certiiied copies (not copies of certified copies) of required educational qualifications set out in the advertisement (iii) Certificates are required, however, if a certificate is only to be issued at the graduation in the future, the statement of results, together with a letter from the educational institution indicating the date of the graduation will be accepted.

3 (iv) Driver's licence (where a valid driver's licence is a requirement). (v) Certified copy ofthe Identity Document (ID). (vi) Applicants must provide proof of supervisory or management experience (where it is a requirement) and certified copies of acting appointment letters for occupying acting positions. Curriculum Vitae (CV) dates of starting and leaving employment must be given as DD/MM/YY. NB: Failure to comply with these instructions will lead to applications being regarded as incomplete and will be disqualified. Ability to act with tact and discretion. Good grooming and presentation. DUTIES/ KEY PERFORMANCE AREAS Provide a secretarial! receptionist support service to the Director. This will, inter alia, entail the following: Receive telephone calls and refer the calls to the correct role players if not meant for the Director.

9 Record appointments and events in the diary of the Director. Type documents for the Director and other staff within the unit on a word processor. Operate office equipment like fax machines and photocopiers. Provide a clerical support service to the Director. This will entail. inter alia, the following: Liaise with travel agencies to make travel arrangements. Check the arrangements when the relevant documents are received. Arrange meetings and events for the Director and the staff in the Unit. Identify venues, invite role players, organise refreshments and set up schedules for meetings and events. Process the travel and subsistence claims for the unit.

10 Process all invoices that emanate from the activities of the work of the Director. Record basic minutes of the meetings of the Director where required. Draft routine correspondence and reports. Filing of documents for the Director and the unit where required. Administer matters like the leave registers and telephone accounts. Receive, record and distribute all incoming and outgoing documents. Handle the procurement of standard items like stationary, refreshments etc. Collect all relevant documents to enable the Director to prepare for meetings. Remain up to date with regard to prescripts/policies and procedures applicable to her/his work terrain to ensure efficient and effective support to the manager.
