2 It has totally changed the way we work for the better. CUSTOMER CASE STUDYC hallengeOver the years, Home Group has accumulated numerous paper-based systems that were vital to daily operations. An independent audit identified 145 individual systems, 45 of which were labelled critical. The organisation wanted to streamline these disparate applications to improve customer service and simplify employees lives. We had multiple systems with lots of duplicated information and the need for lots of different passwords, explains Malcolm Brown, Director of IS, Home Group . It was also hugely inefficient. For example, in some cases, our employees would have to print off a 30-page form, take it to a tenant to be filled in and then re-enter the information on returning to the office. There clearly had to be a smarter way of working. Home Group undertook an Enterprise Application Review (EAR) to identify the pain points and define the requirements.

3 The next step was to find the right partner to overhaul its Oracle infrastructure and design and implement a new ERP platform covering CRM, payroll, HR, care and support provision, finance and procurement. This was a three-way partnership between the IT team, business leaders and the implementation partner, so it was critical we found one that understood us and what we were trying to achieve, adds Brown. After careful consideration, we decided that Fujitsu had the best grasp of our business as well as the necessary Oracle experience. SolutionFujitsu introduced a collaborative approach that allowed all areas of Home Group to contribute to the evolution of the Oracle platform. This has led to a real-time online case management system that will replace all the old hard copy forms. Now case officers can use a tablet device to remotely download the right information and fill it in with the tenant. Each form is then authenticated by an e-signature.

4 Instead of using unreliable spreadsheets and physical forms, Fujitsu has opened the platform to provide real-time, cohesive interaction with key data from any location, continues Brown. Rather than waste time typing up notes, it is all auto synched and routed to the relevant teams. This ensures that vulnerable tenants get the timely intervention they require. Over 4,000 users now rely on the Fujitsu-designed Oracle platform to carry out everything from recording timesheets to assessing a new tenant. Fujitsu also designed the mobile application that 2,500 care and support employees use when out on the road. The applications are hosted on Home Group hardware and infrastructure at Home Group s data centre. In total, the whole project took 18 months. This has been a true digital transformation for Home Group , says Brown. It has totally changed the way we work for the better. BenefitHome Group now enjoys a far more efficient system that saves a considerable amount of time and has reduced the reliance on paper significantly.

5 This in turn has led to cost savings in every area of the business. For example, the increased efficiency in spreadsheet processes in the finance department is expected to save 850k per year while merging business intelligence within procurement will save around 1m per year. When Home Group looks across the entire business, overall savings will be in the region of annually. We are dramatically lowering the cost of operations and that is money that can be invested elsewhere to improve the business, comments Brown. Essentially we can do a better job at lower cost. The new system has also improved the lives of employees by giving them the tools they need to be effective, making life simpler and less stressful. Home Group regularly takes part in an annual workplace satisfaction survey and its rating has jumped by ten per cent, making it the 33rd most popular place to work in the country. Fujitsu s application platform makes everyone s life easier and provides a much-improved service to our tenants, remarks Brown.

6 It s little wonder that our employees are among the happiest in the UK. With the new platform in place, Home Group is keen to explore other areas of the business that can be improved. Adding self-service capability for tenants is the first item on the list. We have given our employees the power they need; now, we want to give the tenants the same ability to manage their own affairs online, concludes Brown. Initial feedback has been tremendous so we are confident it will be another success and we expect Fujitsu to continue to play a key role in that success.
