Workday is the group-wide system for Human Resources (HR). It will provide a platform for consistent HR processes and information. It is one of the tools we require to manage the organization s global growth. With Workday , all employees will have access to their own personal profile and visibility of the group-wide organization chart. Managers will have a reliable source of information about their teams and HR will be able to work in a more efficient manner. What is included? Core HR processes such as Hires, Transfers and Promotions will be managed via Workday , which will be used by all countries and companies across the group.

2 The system will be a reference point for salary information and changes will feed through to payroll. It will be possible to manage leaves and time offs online. The system will be delivered in multiple languages. Workday will be available via browser, tablet and smartphone. Once the platform is in place, further functionality will be added in later phases, Employee Benefits, Performance Appraisals and Compensation Review. Eventually Workday has the capability to handle other processes such as Recruitment, Expenses and UK Payroll. For now, local payroll will not be changed as part of Workday . When is it happening? Workday went live for the HR department in late August 2015. On October 1st 2015 the system will launch to all staff. Prior to launch the relevant communications and training guides will be provided to employees and managers globally.

3 What does it mean for me? Everyone will have access to a single system and can view and where appropriate amend their own information. A global directory of basic information: organisation chart, name, location and contact details will be available to all. Only those who require HR data to perform their job will have access, Managers see their team and members of HR and Finance will be assigned appropriate roles. Information in Workday will need to be 100% accurate as it will drive local payrolls and aggregated global reporting as well as being a reference point for employee data for other systems. How will I access Workday ? The system is available via your browser; the link will be communicated at launch and will be available via the company Intranet (it can also be saved as a favourite). Other materials, such as training documentation, will also be housed in a central repository.

4 Whilst on the company network Workday is Single Sign On (via OKTA) and no password is required. It is also available via mobile devices such as tablet ( iPad) and smartphone ( iPhone or Android) for mobile devices a password will be required. Is my personal data safe? Data Privacy and Security are highest priority. Workday is a Safe Harbour certified organization and has stringent security controls in place. The system will be hosted within the European Economic Area (EEA), in Dublin, Ireland and steps have been taken to ensure compliance with local Data Protection laws. Photos Employee photos can be maintained in Workday . Where available photos will be uploaded to the system. Each individual can also maintain their photo. There is ongoing work to define an employee photos policy. Why Workday ? Workday is the market leader in HR systems for functionality and data security and is designed to integrate with other business applications.

5 Twice a year Workday improves its product for all customers via feature updates. Being Software as a Service (SaaS) the system resides in the Cloud and there are no hardware costs.
