1 Frequently Asked Questions Managers 1. What tasks am I able to perform in workday that I could not perform before? In workday , Managers will have the ability to perform more self-service tasks at their own convenience. For example, Managers can do the following tasks directly in workday : Perform compensation changes for their team that are within policy guidelines and approved by the next level manager . For more information on the Compensation guidelines, refer to Policy B-1, Wage and Salary Administration. Award Spot Bonuses 2. What should I do if I need help navigating the workday system? There are multiple resources to assist you in navigating the workday system.
2 On the workday landing (home) page, there is an Employee How To icon (worklet) that includes links to job aids for common tasks within workday . There is also a manager How To icon (worklet) that contains links to job aids for manager -specific tasks. Additionally, there are multiple links within the workday business process tasks that will allow for just-in-time assistance. Likewise, the manager webinar sessions that were conducted prior to go-live were recorded and can be accessed on the Manage page of HR Online under the workday section. 3 3. Will there be a difference in how Spot Bonuses are processed? Yes, Spot Bonuses will now be processed in workday rather than through the RAVE site. 4. Will Compensation need to review job changes (lateral, promotion, demotion)? Compensation will need to review all job changes once they are approved by the next level manager . Therefore, the job change should not be communicated to the employee until approvals are received from both the next level manager and Compensation. 5. Am I able to move an employee to another manager within my own supervisory organization? If the move will result in a job profile (code) change, the job change will need to be reviewed and approved by the next level manager as well as Compensation before the change can take effect.
4 If the move will not result in a job profile (code) change, the job change can be processed without additional approvals. 6. How will other special pay incentives be paid? Only Spot Bonuses will be processed through workday . All other special pay dollars and hours will be processed as they are today. 7. Am I able to delegate tasks to other individuals in workday ? Delegation is used to allow another employee to review and approve on your behalf. This can be done for short periods of time ( if you are going to be out of the office) or on an on-going basis. In addition, an entire workday Inbox can be delegated to another individual during a leave or vacation.
5 It is important that you use judgment when determining who you should provide delegate access to. Delegates will have access to and see the same information as you, with the exception of your personal information. When delegating a task, you will have the ability to delegate to anyone in the organization, and have the ability to delegate all tasks or specific tasks only. Likewise, the delegate will have access to all of the same information as if you were performing the task yourself ( job information, salary information). When the delegate performs a task that you delegate him/her to complete, the task will be identified as being on behalf of you.
6 8. Will FMLA/Leaves of Absence be processed in workday ? While workday will indicate that an individual is on a leave of absence, all requests for leave and tracking of leave will be processed outside of workday , as it is today. 9. Can I view contact information for my team in workday ? Yes, you will be able to view the contact information for your team within workday . You can do so by searching for your team member by name and clicking on the Contact tab on the Worker Profile screen. Please note that every Saturday from 2:00 EST until 6:00 EST, workday has scheduled downtime. During that time, workday is not accessible.
7 10. What is the importance of the pay period end date when processing a termination? When you enter the termination date, the Last Day of Work and the Pay Through Date fields auto-populate with the termination date. The Pay Through Date must always be changed to reflect the close of a pay period, otherwise, the employee will not get paid for any days worked during the pay period. 11. What should I do if I notice that the work location for my employee(s) is incorrect? Work locations now show at the building or tower level. Additionally, the work address is connected to the work location (building/tower) and is not editable. In order to change the work location, you will need to complete the job change process for the employee(s).
8 When completing the job change process, you should select Location Change as the reason and make the change accordingly. For additional information on how to make such a change, refer to the Employee Job Changes job aid. 12. How can I view the base pay rate of one of my employees? To view an employee s base rate of pay, search for the employee through the Search field or the My Team worklet, then click on the related actions icon next to the employee s name. Once there, hover over Compensation, and click the View Compensation option. You will see the employee s base pay rate listed under the section titled Plan Assignments.
9 13. What is a Supervisory Organization? workday organizes groups of workers by their management hierarchy, not by cost center. The management hierarchy is known as the supervisory organization. Supervisory organizations can consist of one department or multiple departments. Only the Managers of the supervisory organization is able to see worker information ( home contact information, compensation). 14. What should I do if I need to cancel an employment action that I have started on an employee? If you have not yet submitted the employment action ( job change, compensation change), you can cancel the action by clicking the Cancel button or by leaving the page that you are on and clicking the Discard Changes button when prompted.
10 If you have already submitted the employment action, you will need to call the Employee Service Center to have the action rescinded. 15. How do I process a spot bonus for an employee in another supervisory organization? You cannot initiate a spot bonus in workday for an employee outside of your organization. If you would like to award a spot bonus to an employee outside of your organization, you should contact the employee s manager to have him/her initiate the spot bonus. Once in the spot bonus process is initiated, the employee s manager can change the cost center by changing the Worktag to reflect the cost center that the spot bonus should be charged.
